Key Ledger support
Contact
Email keyledgerapp@gmail.com with your device and the app version. The version is the title of the last section in Settings, for example Key Ledger 3.0.0.
The first screen
A new install asks how you will use Key Ledger. Each choice can be changed later.
- Join a shop, when your shop's owner invited you by email. Sign in with the address the invitation was sent to, then tap Join beside your shop. If the shop does not know you yet, give your name and a direct phone so keys can be checked out to you.
- Create a shop, for owners. Sign in, then name the shop and give your name and direct phone. You are its owner and its first worker. Add key sets in Data & backup, then invite your staff.
- Use on this iPhone only, with no account. Records stay on the device. You can sign in later from Settings.
Signing in
Enter your email address and the 6-digit code it receives. The code lasts five minutes, and there is no password. Nobody from Key Ledger will ever ask you for a code.
Joining after installing
An invitation link tapped before the app was installed may not open it the first time. Nothing is lost: invitations wait for the address they were sent to. Open the app, choose Join a shop (or Settings, then Sign in), and sign in with that address. The invitation is listed under Invitations for you; tap Join.
Inviting your staff
Open Settings and tap Members on your account row, then Invite. Use the exact address each person will sign in with: a Gmail address written with extra dots or a plus sign does not match. They join as employees, who check sets out and record returns. You can make someone an owner from Members.
Checking keys out and in
Tap Check out on a card, look up the worker by name or phone, choose a return time and confirm. To bring a set back, tap Return. For a set that stays out with no return date, choose Other date or time, then No return date; the list calls it Kept. The counts above the list are All, Kept, Out and Overdue. In a shop, your own name comes first on the Workers tab, with the sets you hold.
Moving this phone's ledger into the shop
While the shop is still empty, Data & backup shows Move this iPhone's ledger. Review it, confirm which worker you are (the app proposes the one on your own phone number), and tap Move. Every set, worker and checkout goes to the shop in one step; the copy on the phone stays as it was and is no longer updated. If a record is longer than the shop allows, the review page names it so you can shorten it first. A ledger can only move into an empty shop.
Switching between shops
One account can belong to several shops and create up to three. Open Settings, tap your account at the top, then Your shops, and tap the shop to show. The shop on screen is the one Leave shop and Delete shop act on.
Members, roles and leaving
Members lists everyone in the shop with their name, email address and role. An owner can make someone an owner or an employee, remove them, and resend or revoke an invitation. Owners also see Activity in Data & backup: who changed what, newest first. To leave, open Settings, tap your account, then Leave; the only owner must make someone else an owner first. An owner can delete the shop from the same page by typing its name back.
Offline
A shop's ledger stays readable without a connection, from the last synced copy, with a line saying when that was. Checkouts, returns and edits need a connection and say so. Opened offline more than an hour after it was last online, the app shows only the sets checked out to you until it connects again.
Deleting your account
Open Settings, tap your account at the top, then Delete account. It is immediate. The shop keeps past checkouts with the name and phone it recorded at the time. The only owner of a shop that still has members must make someone else an owner, or delete the shop, first. Signing out instead keeps the account and leaves this phone's own ledger in place.
Moving to a new phone
In a shop, install Key Ledger on the new phone and sign in: the shop's ledger arrives on its own. For this phone's own ledger, in Data & backup tap Export backup and save the file to Files; on the new device open Data & backup, tap Restore and pick that file.
Reminders
Overdue reminders need notification permission. Check Settings in the app, which shows whether reminders are on and links to iPhone Settings if they are off. In a shop, an owner's phone reminds about every overdue set; an employee's phone only about the sets checked out to them.
Privacy
Signed out, your records stay on your device. Signed in, the shop's records are stored by Supabase in the United States and seen by every member of the shop. Read the privacy policy.
